Payroll in your books, remittances on time
Your payroll service works out the pay. AviBooks takes its register, checks the CPP, CPP2, EI, QPP and QPIP on every pay against this year's rates and maximums, posts one balanced entry for each pay run on its pay date, and keeps track of what you owe the CRA and Revenu Québec, when it is due, and which bank line paid it. It doesn't calculate pay or send remittances.
- Full product, no feature tiers.
- Every new account is approved personally.
Import the payroll register
Export the register from your payroll service as a CSV or Excel file and import it in Payroll, then Pay runs. AviBooks reads each column from its heading, in English or French, and shows what it took each column to be before anything is saved.
- Federal and provincial income tax add up into one column; year-to-date columns and total rows are left out
- Amounts in either style: 1,234.56 or 1 234,56
- Each row is matched to an employee by name ("Tremblay, Marie" finds Marie Tremblay), or the person is added
- One draft pay run per pay date; a cell that can't be read is named, never skipped quietly
- No export? Type the pay run in: net pay fills itself in from gross less the deductions
Every pay checked against this year's rates
When a pay run is saved, each pay is checked with the pays already posted for that employee this year.
- Gross less taxable benefits and deductions equals net pay, to the cent
- CPP and CPP2, EI (at Québec's lower rate for Québec employees) and the employer's EI at 1.4 times
- QPP and QPIP for employees who work in Québec
- The yearly maximums, and the ages when CPP and QPP start and stop
- An error must be fixed before posting; a warning is most likely a mistake; a note says when the amount can still be right
One entry in the books for each pay run
Post to the books records the wages and the employer's share as expenses, and what is owed to the CRA, to Revenu Québec, for other deductions and to the employees as net pay. The entry names no employee. A pay run dated on or before the lock date can't be changed.
Remittances: what is owed, and when
Remittances lists each remittance period with what the posted pay runs owe and its due date, which allows for weekends and holidays.
- CRA remitter types: quarterly, regular, and accelerated (thresholds 1 and 2)
- Revenu Québec frequencies: annual, quarterly, monthly, twice a month and weekly, counting the Health Services Fund and CNESST amounts your payroll register shows
- A late period shows an estimate of the penalty, at the CRA's or Revenu Québec's own rates
- Coming up lists the next dates, and can email you 7 days and 1 day before
Payments recorded from the bank line
Record each remittance and each run's net pay from the statement withdrawal that paid it: the line then reads as that payment when you reconcile, and can't be matched to anything else. Paid before the statement arrived? Record it from the account, and link the line when it comes in. Under the periods, the CRA, Revenu Québec and net pay liabilities in the ledger are shown next to what is still owed, so a difference stands out.
Questions about payroll
Does AviBooks calculate pay or income tax?
No. Your payroll service, or you, works out the pay, the deductions and the income tax. AviBooks checks CPP, CPP2, EI, QPP and QPIP against the year's rates and maximums; income tax is not checked.
Does it send the remittances or file T4 slips?
No. Pay the CRA and Revenu Québec through your bank or their online services, then record the payment in AviBooks. The T4 and RL-1 due dates are listed in Coming up.
Which payroll services can I import from?
Any that exports its payroll register as a CSV or Excel file with one row per employee and a heading on each column. If a heading isn't recognized, you choose what the column is.
Who can see payroll?
Admins (whoever opened the account is one). An accountant sees pay runs and employee details only when an admin gives access. The ledger shows each pay run's entry to anyone who keeps the books: totals, with no employee names. Social insurance numbers are stored encrypted and shown masked.
